1. Responsible for complete end to end recruitment process under the supervision of the Manager HR & Admin – coordinating with candidates to call them for written tests and arrange for personal interviews and maintaining the interview MIS on a daily basis.
2. monitoring office attendants who deals with preparing the late report each day, circulating it to the managers in the office, and ensuring that everyone in the office abides by the HR guidelines with regard to use of swipe cards;
3. handling petty cash, maintaining record for Mumbai office administrative on a regular basis and uploading receipts in my expenses
4. coordinating with vendors and send vendors invoices to Global Admin Manager as per the scheduled cut off dates and follow up with finance team for the payment, etc.
C. KEY PERFORMANCE INDICATORS: (To highlight the means by which performance will primarily be measured these should be aligned with the responsibilities and accountabilities outlined in Section B of the job description)
The Admin Executive should have regular and punctual attendance and should ensure that they are always engaged with work, proactively looking for things that need organizing, improving or bringing to the attention of the Manager HR & Admin. Always readily available to assist wherever required and flexible in their attitude towards work and the changing requirements of their role.
The Admin Executive will be the back-up in absence of the Manager HR & Admin and will be expected to perform Managers main duties whilst she is out of the office (as per the guidance / to do list received from Manager).
D. COMPETENCIES AND EXPERIENCE: (To highlight educational qualifications, years of work experience, specific qualifications, functional knowledge and skills required (e.g. software skills, language skills etc.), if any. These should support the roles and tasks that are expected of the incumbent as outlined in Section B of the job description.)
The role requires the candidate to have a minimum of two years previous work experience of working in a large-scale office in Mumbai. The role requires excellent English communication skills as dealing with the needs of all levels of staff both inside and outside of the organization will be a regular requirement. Highly organized, trustworthy and honest.
